One of the most significant risks associated with AI in dental practices is the inadvertent exposure of protected health information (PHI). Unlike traditional cybersecurity breaches, AI-related risks often occur through routine employee behavior—such as copying and pasting patient information into AI tools to generate summaries, insurance narratives, or treatment explanations.
As highlighted in the foundational analysis, AI platforms may store, process, or reuse data entered into them, depending on their configuration. For dental practices, this creates a direct conflict with HIPAA requirements, which mandate strict control over how patient information is handled and shared. Even a single instance of improper data entry into an AI system could constitute a reportable violation.
The challenge is that most dental team members are not trained to recognize these risks. They may view AI tools as harmless productivity aids, unaware that entering PHI into an unapproved platform could expose the practice to fines, investigations, and reputational damage. This is particularly concerning in multi-location practices and DSOs, where inconsistent practices across teams can create widespread exposure.
An AI policy tailored to dental practices must explicitly prohibit the entry of PHI into unauthorized systems, define approved tools, and require that any use of AI involving patient-related content be reviewed and verified. Additionally, staff must be trained to understand not only what is prohibited, but why these restrictions exist.
Failure to address these risks proactively places dental practices in a reactive position—responding to incidents rather than preventing them. In today’s regulatory environment, that is a position no practice can afford to be in.
